SPRING 2024 Softball Rec Program
The Brentwood Ball Club provides an opportunity for players up to 13 years old to have a place to play organized softball in the city of Brentwood. As the service provider of baseball for the City of Brentwood, 75% of our 12YO & Younger players must reside in the city of Brentwood. 85% of our players must reside in Williamson County.

We pay the City of Brentwood Parks & Recreation Department a $25 fee per player that resides outside the city of Brentwood (to be shown as Non-Resident fee) and pay an additional $10 fee for players outside Williamson County (to be shown as Non-Williamson County Resident Fee). These fees are paid during the registration process by parents if their player does not live in the city of Brentwood and/or in Williamson County.

The capacity of our program is not unlimited, and some divisions will reach a wait list prior if you don't register early in the process. Any player registering after we are full (to the Wait list) is not guaranteed a spot on a team. 

Our softball program participates in the county league hosted by WCPR (Williamson County Park & Rec Department). As such. WCPR will create our game schedules and will provide umpires for our games. We pay WCPR a per player fee, as required to be in their league.

1. How to Register
Click here if you do not have an account through our website and need help creating an account to register. Parents once logged in register their player. Registering through our website is the only method to register.

2. What Division to Register to
Based on the player's age on 08/31/23, players will have the opportunity to register for the division of their current age and typically one age group higher. We suggest unless your player is advanced, to register your player for the youngest age division offered.

3. Age divisions are based on the age on 08/31/23
In 5/6YO, player must be 6 or younger on 08/31/23.
In 7/8YO, players must be 8 or younger on 08/31/23.
In 9/10YO, players must be 10 or younger on 08/31/23.
In 11/13YO, players must be 13 or younger on 08/31/23.
Any grade exceptions require WCPR consideration & approval.

4. Format of the Divisions
For the 5/6YO age divisions, an adult coach will pitch from 27'.
For the 7/8YO age divisions, an adult coach will pitch from 35'.
For the 9/10YO age divisions, a player pitcher will pitch from 35'.
For the 11/13YO age divisions, a player pitcher will pitch from 40'.

5. Softball Player Registration fees include
(1) Full player uniform – shirt, pants, socks and belt
(2) Shirt for head coach and for up to two assistant coaches
(3) Game balls for scheduled league games and an end of season single elimination tournament
(4) Umpire fees for all league games
(5) Field maintenance throughout the season
(6) Player insurance
(7) Catcher's gear for the team
(8) End of season WCPR hosted tournament
(9) Participant trophies for 5/6YO division
We do not provide practice balls.

6. Unique Notable Fee you will see 
The credit card "PROCESSING FEE" of 3.4% is what the credit card company charges to make the charge. 
The $3 service fee (fee charged by webhost to process a registration) is paid by the person registering. This is paid per transaction although multiple players can be registered on one order saving just one service fee.

7. Late Fees 
A late registration fee of $10 will start on xx.

8. Refunds
Any cancellation of a player's registration will result in a refund of the amount paid less the credit processing fee, less any late fees and a one-time $20 handling fee. No refunds will be processed after xx. 

Note: Should we have a re-occurrence of a COVID type shut down, the amount of the refund will be amount paid less the $3 service fee (that is the web host fee), less the credit processing fee, less any late fee and will be prorated from when the stoppage occurs. If uniforms are already printed, we will ensure each player receives their uniform as that amount will not be refunded.

9. Softball Uniform Sizing
The size shirt we provide to players is based on the size selecting by the registering parent. We will provide that size or one size larger. If a parent selects the wrong size when registering and the shirt is already printed when the error is determined, the parent would be required to purchase a replacement shirt.

10. Coach Requirements
(1) To be recognized as a coach, you must create a volunteer record every season. The Volunteer record includes the Concussion Checklist and the Code of Conduct Agreement.

11. Where Games and Practices Occur
We will schedule home games and practices at Crockett Park (1500 Volunteer Parkway). Some league games will occur at other parks throughout Williamson County. Once the schedule is located, you can view your calendar once logged in and find the park of your next game in map form. As well, here are some common WCPR locations:

12. When Games Are Played
Each division will play a weekday game and one Saturday game per week.
- 5/6YO will be scheduled on Mondays (expected weekday game times as 5:45PM) unless we have an odd number of teams, and the coaches only want to play Brentwood vs Brentwood. If so, we would add a Thursday.
- 7/8YOs will be scheduled on Tuesdays (expected weekday game times as 5:45PM and 7:15PM)
- 9/10YOs will be scheduled on Thursdays (expected weekday game times as 5:45PM and 7:30PM)
- 11/13YOs will be scheduled on Mondays (expected weekday game times as 5:45PM and 7:30PM)

Game #2 = March 25-29 (no games on Saturday, 3/30)

How softball teams are formed:
For all seasons, teams are formed based on parent requests and then team rosters are completed by the club where we attempt to group by neighborhood or school and then spread the “new to softball” players across the teams. The club attempts to ensure each kid pitch team has a catcher and pitcher. Score is kept in the spring & fall.
