SPRING 2023 Travel (Open Division) Baseball – (applies for 8YO to 12YO)

The Brentwood Ball Club will host travel (open division) leagues for the age divisions of 8YO, 9YO, 10YO, 11YO and 12YO. As the service provider of baseball for the City of Brentwood, 75% of our 12YO & Younger players must reside in the city of Brentwood, while 60% of our 13YO & Older players must reside in the city of Brentwood. 85% of our players must reside in Williamson County.

We are required to pay the City of Brentwood Parks & Recreation Department a $25 fee per player that resides outside the city of Brentwood (to be shown as Non-Resident fee) and pay an additional $10 fee for players outside Williamson County (to be shown as Non-Williamson County Resident Fee). These fees are not included in the registration amount and are required to be paid by the participant registering (parent or head coach).

We reserve the right to decline any team registering that does not meet our resident requirements.

Age Divisions We Offer for League Play
In 8YO division, players cannot turn 9 before 05/01/23
In 9YO division, players cannot turn 10 before 05/01/23
In 10YO division, players cannot turn 11 before 05/01/23
In 11YO division, players cannot turn 12 before 05/01/23
In 12YO division, players cannot turn 13 before 05/01/23
Grade exceptions are allowed 
A 7YO team CANNOT play in the 8YO division

What To Register For
We offer two options for the spring season:
(1) ‘Season Fee’ – Games & Practices 
(2) ‘Game Only Fee’ 

Registration Option #1 – 'Season Fee' Offer as $1925 for 8YO and $2035 for 9YO to 12YO
This fee includes:
(1) Cost of umpires & game prep for regular season scheduled games 
(2) Cost of umpires, game prep & champ/runner up trophies for an end of season tournament 
(3) 24 Wilson baseballs 
(4) One weekday and one weekend scheduled practice per week from February 17-March 19
(5) One weekly scheduled practice slot from March 20-May 18 
(6) One weekday and one weekend scheduled practice per week from May 19-July 23
(7) Team Insurance

Registration Option #2 – 'Game Only Fee' Offer $1025 for 8YO and $1135 for 9YO to 12YO
This fee includes: 
• Cost of umpires and game prep for regular season scheduled games
• Cost of umpires, game prep and individual trophies (champ/runner ups) for an end of season tournament 
Note: Games may occur at Civitan Park or Crockett Park

Non-resident fees apply when using fields for practice.

How To Register for Travel Options (after opening 11/10/22)
There is one method to register, that occurs by the head coach or team designee, and here are the steps:

1. The Head Coach will send an email to [email protected] by December 3 notifying our club of their intent to register a team. No longer accepting teams

2. Head coach to complete the off-line registration form for their team. Click here for the form. No other format other than this template in excel will be accepted.

3. On the form, Head Coach to:
a. Select registration programs they want to purchase
b. Enter all player data fields in the excel file
c. Return a soft copy in excel format of items (a) and (b) back to [email protected]

4. Our club will then enter all pricing for registration fees and for non-resident fees. This will be returned to the team. This is also the step of approval by the club as a team in our league.

5. The head coach will ensure all coaches on the team roster completes a volunteer record – click here – and submits to a background check – click here.  

6. The Head Coach will then complete a hard copy of the roster form (returned on step #4) by getting a physical signature from one parent for each player. A physical signature means pen-to-paper.

7. With steps 1-6 completed, the head coach will then send a check with a completed hard copy of the form to our club by drop off or by mail. The club will provide the address after steps 1-6 have been completed.

8. If a head coach wants to pay all fees by credit card, the hard copy must be provided to the club before that transaction occurs. If you do pay by credit card, you will have to pay the processing fee for credit card use, which is ~3.4% of the amount due.

Last Day to secure your spot in our league – all paperwork complete, all payments complete – is December 22.

Game Notes
• For 9YO to 12YO: Regular Season = 8 scheduled games between 03/21 & 05/04
• For 8YO: Regular Season = 10 scheduled games between 03/21 & 05/04
• Single elimination tournament between 05/08 and 05/18
• Individual trophies for the tournament champions and runners-up
• All games must occur during this period to include weather makeups

Roster Notes 
No player other than those rostered are allowed to participate in practice or games through our program. Use of an unregistered player will result in the removal of the team from our league without a refund.
No player can be added after April 3.

Coach Count Note
The limit of coaches for game participation is four – no exceptions.

Where to Complete Online Volunteer (Coach) Concussion Training
In completing a volunteer form, coaches commit to completing online concussion training every three years. Here are a couple of suggested locations to complete: 

When Practices Occur
Practices may occur any day of the week at Civitan Park or Crockett Park. 

Where Games Are Played
We will schedule games at Civitan Park and at Crockett Park.

When Games Are Played
Games will be scheduled to occur on Tuesday, Wednesday or Thursday each week.
8YO games will be scheduled as doubleheaders when on dirt fields and may be singles or doubleheaders on turf.
9YO, 10YO, 11YO, 12YO will be scheduled as singles. 

We do not provide any refunds to travel player registration. The parent will work with the head coach for any fee coverage (new player to replace them).

Teams are not refunded for weather impacted games. It is the head coach's responsibility to make their team available for a makeup game during the regular season (all makeup games must occur prior to the end of season tournament).

Should we have a re-occurrence of a COVID type shut down, the amount of the refund will be amount paid less the $3 service fee (that is the web host fee), less the credit processing fee, less any late fee, less a one-time $20 handling fee and will be prorated from when the stoppage occurs.
